This document sets out our corporate qualifications, our understanding of the project requirements, our complete installation methodology — including foundation, framing, and fastening specifications with stated construction tolerances — a full schedule of materials, and a detailed schedule of pricing for the supply and installation of pressure-treated wood privacy fencing.
All work described herein is performed by our own crews, is fully insured and WSIB-covered, and is warranted in accordance with Section 9 of this document. We confirm our availability to mobilize within ten (10) business days of award and to meet the completion milestones identified by the Contracting Authority.

Ontario Fences is a London, Ontario fencing and perimeter construction company specializing in residential, commercial, and institutional wood, chain-link, and ornamental fencing across Southwestern Ontario.
Every installation is performed by our own trained crews — we do not broker work to third-party subcontractors. This gives the Contracting Authority a single point of accountability from site layout through final deficiency review, and it is the reason our installations consistently pass inspection on first review.
Our institutional and municipal work is built to documented specifications: engineered post embedment below local frost depth, hot-dipped galvanized fastening throughout, and written construction tolerances that are measured and recorded during our quality-assurance walkthrough (Section 5).
Service capability. Pressure-treated pine and cedar privacy fencing; board-on-board and good-neighbour profiles; gates and hardware; chain-link and ornamental steel; post replacement and remediation; snow-load and wind-exposure detailing for open-site installations.
The Contracting Authority requires a durable, uniform, low-maintenance perimeter enclosure that provides privacy screening and controlled separation of the subject property, installed to a documented standard suitable for public-sector asset management.
Our understanding of the requirement. Based on the RFI documents, the work comprises the supply and installation of approximately 150 linear metres of 1 830 mm (6 ft) pressure-treated wood privacy fencing, including two pedestrian access gates, removal and lawful disposal of any existing fencing, and full restoration of disturbed ground. Final quantities are to be confirmed by joint site measurement prior to contract execution.
Why this profile. We are proposing a three-rail, vertical-board privacy profile on 4×4 pressure-treated posts because it is the most serviceable configuration for a public installation: individual boards are replaceable without disassembly of the panel, the third rail eliminates mid-span board cupping on 1 830 mm heights, and all structural members are ground-contact-rated (UC4A) treated lumber.
Why Ontario Fences. This project sits squarely within our core scope. We install this exact assembly year-round in London-area soil conditions, our foundation detail (Section 4) is designed for the local 1.2 m frost penetration depth, and our crews measure and record the construction tolerances stated in Section 5 on every job — not only when an inspector is present.

A six-phase sequence, executed by a single dedicated crew, with hold points for utility locates and post-set cure before framing loads are applied.
Property line confirmed against survey pins with the Contracting Authority’s representative. String line established; post centres marked at 2 440 mm typ. Ontario One Call locates completed and paint/flags preserved for the duration of excavation. Hold point: no digging until all clearances are received.
Post holes augered to Ø 250 mm × 1 219 mm depth below finished grade — below the 1.2 m London-area design frost line. Hole bottoms cleaned of loose spoil; depth verified with a graded rod at every hole before setting.
150 mm of ¾” clear gravel placed and compacted at each hole base for drainage. 4×4 UC4A posts plumbed in two axes and braced; holes filled with 30 MPa ready-mix concrete, rodded to eliminate voids, and crowned 50 mm above grade, sloped away from the post to shed water. Hold point: minimum 24 h cure before rail loads.
Three 2×4 rails per bay (top, mid, bottom) fixed to posts with hot-dipped galvanized structural screws, two per connection. Bottom rail held 50 mm ± 10 mm above grade to prevent ground contact of horizontal members.
1×6 fence boards installed vertically to a string-lined top edge, gapped 6 mm ± 2 mm for drying movement, and fastened with two ring-shank galvanized nails per rail crossing to the penetration and seating tolerances specified in Section 5.
Full-run walkthrough measuring plumb, alignment, and height against Section 5 tolerances; results recorded on our QA sheet and provided to the Contracting Authority. Spoil removed, disturbed ground topped with screened soil and seeded, and site left broom-clean.
Fasteners. Boards are fixed with 63 mm (2½”) hot-dipped galvanized ring-shank nails (ASTM A153), two per rail crossing, six per board. Driven depth is controlled so that penetration into the rail is 44 mm ± 10 mm, with heads seated flush to a maximum of 1 mm below the board face — never proud, and never over-driven through the fibre.
Structural connections. Rails are fixed to posts with #10 × 75 mm hot-dipped galvanized structural screws, two per connection. Gate hardware is through-bolted with galvanized carriage bolts and lock nuts.
Verification. Fastening is checked at the Phase 06 QA walkthrough on a sampling basis of one bay in ten, and any nail outside tolerance is pulled and re-driven — boards damaged in correction are replaced at our cost.

Substitutions. No material substitutions are made without written approval of the Contracting Authority. Where supply conditions require an equivalent, the proposed equivalent will meet or exceed the specification above and will be documented on a substitution request form prior to installation.

The finished installation presents a continuous, string-lined top edge; uniform 6 mm board gapping; concrete collars dressed below turf level; and hardware in a consistent hot-dipped-galvanized finish. Photographic references of comparable completed installations are available on request.
Unit-rate pricing based on 150 linear metres; the contract value scales to final quantities confirmed by joint site measurement. All amounts in Canadian dollars.

Pricing basis. Rates are firm for sixty (60) days from the date of issue and include all labour, materials, equipment, supervision, disposal fees, and applicable permits within our scope. HST is shown separately. HST No. [XXXXX XXXX RT0001].
Payment terms. Net 30 from progress invoice. Public-sector holdback per the Construction Act, R.S.O. 1990, c. C.30 (10%, released following publication of certificate of substantial performance), if applicable to the resulting contract form.
Included. Utility locates; excavation and spoil removal; 30 MPa concrete footings; all fastening hardware per Section 5; QA documentation package; restoration of disturbed ground.
Excluded. Rock excavation or obstructions requiring mechanical breaking (unit-priced if encountered); survey by an O.L.S.; relocation of buried services; landscaping beyond restoration of the fence line.

Ontario Fences warrants all workmanship for a period of five (5) years from substantial completion, including post plumb and stability, rail connections, and board fastening. Materials carry the manufacturer’s or treater’s warranty (typically limited lifetime against structural failure from rot and fungal decay for UC4A-rated lumber). Warranty service calls are attended within ten (10) business days of written notice. The warranty excludes damage from vehicle impact, vandalism, alteration by others, and acts of nature beyond design loading.
Health & safety. Work is performed under the Occupational Health and Safety Act (Ontario) and our written safety policy; site-specific hazard assessment is completed at mobilization. Insurance. $5M CGL naming the Contracting Authority as additional insured upon request; WSIB clearance furnished before mobilization. Site conduct. Crews are uniformed and identified; work hours conform to local noise by-laws; the site is left secure and tidy at the end of each working day.
Changes. Any change to scope, quantities, or specification is priced and approved in writing before the affected work proceeds. Weather. Concrete is not placed below −5 °C without cold-weather protection measures; schedule relief applies for days lost to weather unsuitable for the current phase.
Executed in duplicate. Each party warrants that its signatory is authorized to bind it to the terms of this agreement.
The undersigned parties agree to the scope of work, specifications, tolerances, schedule of materials, pricing, and conditions set out in Sections 1.0 through 9.0 of document OF-2026-RFI-041, Revision 0, dated July 10, 2026, for the supply and installation of pressure-treated wood privacy fencing at [Project Address].
